ProfitOptics helps a major medical and dental supplies distributor capture rebate opportunities its existing processes were missing.
For one of the world's largest medical and dental supplies distributors, rebate management had become a problem of scale. The company was managing more than 100,000 contracts and 10 million contract lines across thousands of suppliers, dozens of GPO rosters, and hundreds of thousands of customers.
With that much data changing constantly, it became difficult to consistently connect every transaction to the rebate opportunity it qualified for. ProfitOptics needed to help the distributor find the opportunities its existing processes were missing.
Overview
-
Industry: Medical & Dental Supplies Distribution
-
Scale: 100,000+ contracts, 10M+ contract lines
-
Solutions: POROS, SmartMatch™

Focus Area: Rebate Optimization, Margin Recovery
The distributor had experienced people and established systems managing its rebate programs. But with more than 100,000 contracts and millions of contract lines, keeping every customer, product, supplier, and agreement connected was difficult.

And those relationships were always shifting. New customers were added, contract terms changed, and suppliers sent updated eligibility information. Each change created another opportunity for something to be missed.
For example, a supplier sends a list of customers eligible for a better contract cost. But the names, addresses, or identifiers on that list don’t all match the distributor’s records. A new customer may also qualify but not yet be connected to the appropriate agreement.
Those missed connections mean missed rebate dollars. The challenge was finding them consistently across a set of data that was too large and dynamic to evaluate by hand.
ProfitOptics deployed its Rebate Optimization System (POROS) and SmartMatch™ technology to make the connections existing processes were missing. Together, they:
- Connected the distributor's data with supplier and partner eligibility information to find customers qualifying for a better contract cost
- Used machine learning to evaluate transactions against contract terms and more than 1 million business rules to identify, validate, and approve opportunities
- Processed roughly 150,000 to 200,000 invoice lines each night, with about 95% of approvals automated
- Shifted the distributor from periodic look-backs to continuously checking transactions against the latest information

Only 1–2% of transactions qualify for a better cost, but because the sales have already happened, every recovered dollar goes straight to the bottom line.
Beyond the dollars recovered, the distributor now has a process that evaluates rebate eligibility at a scale that would be difficult to manage manually, and adapts as contracts, customers, and rebate structures change.
The larger the rebate environment, the harder it is to know what you’re missing. More contracts, customers, suppliers, and transaction data create more possible connections, and more places for earned margin to go unidentified.
ProfitOptics helps distributors identify rebate opportunities their existing processes may not see. Let’s talk about where rebate complexity may be leaving money on the table for your business.
Rebate management depends on connecting information from contracts, customer records, product data, supplier agreements, transactions, and eligibility files. When that information lives in different systems or doesn’t cleanly match, qualifying transactions can be overlooked even when the underlying data is accurate.
ProfitOptics recommends looking beyond aggregate totals to transaction-level eligibility, agreement coverage, accrual accuracy, claims, and program performance to identify gaps that aren’t visible in standard reporting.
Adding customers, suppliers, locations, acquisitions, contracts, and rebate programs creates more relationships that have to be evaluated for every transaction. The number of possible combinations can grow much faster than the team responsible for managing them.
Rebate management focuses on administering agreements, calculating earnings, managing accruals, submitting claims, and collecting what is owed. Rebate optimization goes further by analyzing transactions, contracts, and eligibility data to identify additional opportunities and improve the value captured from rebate programs.
ERP systems contain much of the transactional data needed to calculate rebates, but rebate programs often involve complex contract terms, eligibility rules, tiers, exceptions, and changing supplier requirements that core systems weren’t designed to manage on their own. That’s one reason distributors often supplement their ERP with spreadsheets, queries, portals, and other manual processes.
Automation allows distributors to apply rebate rules more consistently across large transaction volumes while reducing manual calculations and reconciliation. It can also provide greater visibility into rebate earnings, accruals, claims, program performance, and opportunities that require attention.
